It is just SPAM marketing

I regularly get emails forwarded to me by contacts and clients that say something like . . . (and I quote)

“I thought you might like to know some of the reasons why you are not getting enough organic traffic & most often you stick to Ad words to get more traffic which is quite expensive and the chances is high of getting a spam traffic as well.”

Don’t worry . . . It is just SPAM marketing!

Ironically, it is these emails that are the SPAM, LOL . . .

Yes, I regularly get emails from people expressing concern about emails that they have received saying that there are various problems with their website.

“We have taken a close look at your website and it has these listed problems . . . “

The fact that so many people get the IDENTICAL email indicates that it is purely and simply SPAM.

They have NOT taken a close look, or even any look, at your website.

As I replied to one client . . .

It is just a scattergun SPAM approach designed to worry website owners into contacting them.

Out of the thousands of emails that they send, some people will get suckered into contacting them . . . and who knows what happens from there on !!  LOL

If you are concerned about your website, then talk with the person or company that helped you to build it in the first place.

At Hotpink Websites, we have an open-door policy on this.

We also have a Quarterly Marketing Review with our clients to help keep on top of using their website to it’s best advantage.

Key SPAM Identifiers

Here are some key identifiers that these are SPAM emails and not to be trusted.

  • The senders email address is usually gmail, and not linked to a valid business domain

  • The salutation is not personalised with your name – because they do not know your name

  • The salutation often is – “Hi <your-domain> Team”.  e.g. “Hi abc123.com.au Team”

  • You get the same email for 2+ websites

One emailer has twigged onto what I keep saying about SPAMers.

They added the message . . .

“P.S: – This is our marketing strategy to use a Gmail account. Once you reply us back, we will communicate with you through our corporate Email ID.”

Really !!

Why are they embarrassed or afraid to put their name out there ?

Clever Followup

Some are clever enough to write a followup email assuming that you would have contacted them, and wondering why you have not.

“Was expecting your email about . . . . “

So, again . . .

if you have concerns or questions, talk with the people who helped you to build it . . . or Contact Us at Hotpink Websites.

We are happy to advise and help.

Well, that is quite simple really!

What should you do now?

Check your domain name expiry date

OK . . . so this one has come up again . . . CHECK your domain name expiry date.

We manage domain names for our clients.

But if your website provider does not do that for you, then you must check up on this yourself.

5910411419 b17af89773 m12 The problem will likely be that . . .

you registered the domain name with an email address that you no longer use.

So when they send out the renewal reminders, you do not get the reminder and the domain name expires.

And you end up with . . .

  • – no website

  • – no emails

Your domain name registration is the lifeline of your online presence.

It tells the internet where to find your web pages to display.

It also routes your emails to and from your email program.

When the domain name registration expires, none of this can happen.

No grace period

The renewal reminders are sent to you by email up to 90 days in advance of the expiry date.

So after that they give no grace period.  Everything disappears instantly.

Not sure how to check this?

Just use the “How Can I Help You?”  panel in the right hand sidebar of our website and we will help you.

You should check:

  1. the expiry date and note it in your diary

  2. the email address for notifications and change it if needed

.

What should you do now?

  1. If you are a Hotpink Websites – just RELAX !

  2. If not, then check up on your domain name NOW !

  3. Want some help or ideas? Just contact us at Hotpink Websites now.

Get your email address right

You must get your email address right because it affects so many aspects of your business success.

And if you get it wrong, you could get blacklisted as a SPAMMER !

It’s a conversation that I have regularly with clients, and it came up again this week, so here are some quick tips . . .

The first, and probably the most important, aspect of setting up any business email address is to follow this simple rule:

Use an email address at your domain name and not at your ISP or a 3rd party email provider.

If for no other reason than it makes your business look professional.

The easiest way to show this is by example:

GOOD for business

  • philip@hotpinkwebsites.com.au

  • sales@hotpinkwebsites.com.au

BAD for business

  • philip@gmail.com

  • philip@hotmail.com

  • philip@bigpond.com

  • philip@optusnet.com.au

Getting the idea?

The next big mistake people make is not setting up their email program to receive their business email address.

It seems much easier to just forward your business emails to your personal email address that is already set up in your email program (MS Outlook, Mac Mail, etc) or your gmail account.

But this can actually get you blacklisted as a SPAMMER !

How does that happen?

email servers will check for emails that are automatically forwarded from another email address because this is one of the tactics that spammers use to conceal their activities.

Here is what one of our techs wrote to a client this week when we were asked to check why her emails were getting bounced.300px Outlook 071 Get your email address right

We do not recommend forwarders to outside email addresses as this many times only results in spam being forwarded to another server.

The recipient server sees the forwarded spam as coming from your own hosting account/server which is the reason why we do not recommend the forwarders in that particular case.

A better solution we have found, is to create individual email boxes for the email addresses you need.

You then setup these email accounts as external/POP3 accounts within most mail applications such as Thunderbird, Microsoft Outlook, or Mail.app within Mac OSX.

This will cause the recipient email to connect to the server to retrieve mail rather than being forwarded.

Any spam emails received will not be classified as coming from your domain in this case.

It is OK to auto-forward an email within a domain.

So . . .

SAFE

  • philip@hotpinkwebsites.com.au – forward to – sales@hotpinkwebsites.com.au

UNSAFE

  • philip@hotpinkwebsites.com.au – forward to – philip@bigpond.com

Well, that is quite simple really!

.

What should you do now?

  1. Make sure that your business email address is at your business domain name.

  2. Setup your email program to receive your business emails directly, not via a forward.

  3. Want some help or ideas? Just contact us at Hotpink Websites now.
